What this app is for
Sales keeps one flow from a lead to a deal, a quote, and a win or loss. Individual customers are the default; company accounts, proposals and similar features appear in the menu only when the brand has those capabilities turned on.
Its other job is to bring the points customers pushed back on (objections) back into your company's knowledge. They become material for improving how you explain things only when you approve them.
Menus
Click Sales in the menu bar to open the top page, with cards such as Sales Health and a list of new leads. Which cards you see depends on your role.
- Leads — incoming prospects; qualify them, reply, and open deals
- Opportunities — deals in progress; move them through stages and mark them won or lost
- Quotes — create quotes and send them to customers
- Solution Proposals — compose a proposal for a deal (shown when the brand has Solution proposal turned on)
- Customers (Accounts) — your customer list
- Contacts — the people under a company and their role in the deal (shown when the brand has Corporate account turned on)
- Next Actions — sales to-dos, earliest due date first
- Objections — what the market pushes back on; decide whether to keep it as knowledge
- Collateral — register materials you reuse
- Decision Signals — records of buying intent, timing, budget and the like (shown when the brand has Decision signal turned on)
The chapters below explain each menu's screen: how to read it and what you can do there.
Judge prospects (Leads)
Leads lists enquiries that might become deals: those that came in through the chat, LINE and other channels, and those you added yourself.
- The list is on the left and the selected lead in full on the right. The columns are Customer, Company and Qualification; the newest come first
- Judgement — starts at Any judgement
- Search by name — find a lead by the contact's name
New Lead adds one. On the right you can:
- Reply to the lead — answer on the channel the lead came from, such as LINE. There is no recipient field. Draft with AI writes a draft of the message, but you are the one who sends it. A sent reply cannot be taken back
- Edit Lead — opens with the current values filled in
- Qualify / Disqualify — disqualifying asks for a reason, which is what tells the next person why
- Open a deal — create a deal from this lead. A lead that has not been judged yet becomes qualified, and that change is recorded
Move deals forward and close them (Opportunities)
Opportunities lists deals in progress, whether opened from a lead or added here directly.
- The list is on the left and the selected deal in full on the right. The columns are Customer, What they need and Stage; the most recently updated come first. Probability, amount and expected close date are on the right
- Outcome — starts at Any outcome
- Search what the customer needs — find a deal by words in what the customer needs
New deal adds one. On the right you can:
- Edit this deal — change what they need, the stage, probability, amount, expected close date or assignee
- Next step for this deal — create a to-do tied to this deal; it appears under Next Actions
- Create a quote for this deal — create a quote tied to this deal; the deal cannot be changed and an expiry date is required
- Extract needs & objections from a conversation — paste a meeting summary and let the AI pull out needs and objections; you decide what is saved
- Mark won / Mark lost — you are asked to confirm, then the deal is closed. A closed deal cannot be reopened
Send a quote (Quotes)
In Quotes, create a New Quote and press Send to customer, and the customer receives an email. The email carries the quote as a PDF, and its text gives only the version and the expiry date (never the figures). For brands that use the customer page, the email also links to it, and accepting the quote there moves it forward.
A quote only moves forward: Draft, Sent, Accepted, Declined or Expired. To change it, you create a new version; earlier versions are kept. An expired quote can be neither sent nor accepted.
Write a proposal per deal (Solution Proposals)
Solution Proposals is where you write down, per deal, what you are proposing and how. It appears only when the brand has Solution proposal turned on; a brand without it cannot create one.
- The columns are Customer, Scope, Pricing approach, Why us, Status and Updated; the most recently updated come first
- The search box — find a proposal by words in its scope or why us
- Press a row to open that proposal's object page
New proposal opens a form for the deal (picked by the customer's name), scope, pricing approach, expected outcome and differentiation. Pick the deal and press AI draft, and the AI fills in the four fields from your offers and the brand's voice. It only fills them; nothing is kept until you press Create. If no draft can be made, the form says so, and you write it yourself.
Edit a proposal later with the pencil button on its row.
Manage who you deal with (Customers (Accounts))
Customers (Accounts) lists the people and organisations you deal with. Everyone sees it.
- The list is on the left and the selected one in full on the right, including phone, locale and assignee. The columns are Display name, Kind and Email; the most recently updated come first
- Person or organisation — starts at Both
- Search by name — find one by its display name
New customer adds one with a display name, kind, email, company and locale. When you give a person a company, that company is registered as an organisation and linked to the person. If Corporate account is turned on later, that organisation is already there.
Use Edit customer on the right to change one. The fields shown in the list open filled in; the others open empty. Saving with them left empty does not erase what was there.
People at an organisation and their roles (Contacts)
Contacts records, per organisation, who represents it and what role they play in the deal. It appears only when the brand has Corporate account turned on.
- Choose the organisation in Organization at the top. The first organisation in the list is selected to begin with
- If there is no organisation yet, the screen tells you to register one in Customers first
- That organisation's contacts are listed with their role and name
Add contact adds someone with a name (required), email and role. If the person does not exist yet, they are created and linked to this organisation. One person can represent more than one organisation.
Roles are Decision maker, Champion, Influencer, Blocker, User, Gatekeeper and Other. Choose a different role in a row's role field and it changes right away. The role belongs to the person's relationship with the organisation, not to the person.
The × on a row, Remove from this organization, takes them off the list without asking. The fact that they were removed stays on record, and the person is not deleted.
Work through what comes next (Next Actions)
Next Actions lists what you decided to do next. Everyone sees it.
- The list is on the left and the selected action in full on the right. The columns are Description, Customer, Due date and Action status; the earliest due date comes first
- Search what it is — find an action by words in its description
To tie an action to a deal, the quickest way is to select the deal in Opportunities and use Next step for this deal. New Action here also works: write the opportunity, action type, description, due date and assignee.
On the right you can:
- Edit this action — change it, including its status
- Mark done — you are asked to confirm, then it is marked completed. Completed actions stay in the list
Bring objections back to knowledge (Objections)
Objections lists the points customers pushed back on during deals. Whether an objection keeps coming up is your judgment as the person in the deal.
If it is worth keeping, press Keep as knowledge. The objection arrives under Proposals in Knowledge and becomes company knowledge only when a person accepts it. From there it becomes material for the next deal and for how your site explains things.
Register materials you reuse (Collateral)
Collateral is where you keep materials you attach to proposals and emails again and again: PDFs, case studies, demo videos and so on. Everyone sees it.
- The columns are Title, Type, Audience, Target app, Status and Updated; the most recently updated come first
- The search box — find material by words in its title, description, audience or target app
- Type — narrow by the type of material: Document, PDF, Image, Video, Link or Other. It starts at All
- Press a row to open that material's object page
Add material registers one with a title and type and a link (both required), plus an audience, description, tags and so on. The link points to somewhere it is already hosted, such as Google Drive, a hosted PDF or YouTube. The audience is what the AI uses to pick material for a deal.
Buttons sit at the right end of each row (scroll the table sideways when it is wide). Which buttons appear depends on the material.
- Design · chapters — on material that has a design (who it is for, what it should get the reader to decide, which claims in which order). Press it to open the design's object page
- Derive design (brief) (the sparkle button) — on material with a source file. Builds the design from the source file
- Fix version (PDF) (the PDF button) — on material with a source file. Fixes the current source file as a PDF version that will not change afterwards. If the source has not changed since the last version, it says there is nothing to fix
- View (the eye button) — on material with a fixed version. Hover it to see the version and page count. Press it to open the PDF, which you can also download from there
- Send by email (the paper-plane button) — sends the fixed version by email, with a recipient, subject and message. Add an opportunity key to be able to trace later which material was sent for which deal. If it could not be sent, the reason is shown
- Share link (the chain button) — give a label and a validity period in days (30 to begin with) to create a link that expires, copied for you. The link is shown this one time only
- Open — on material that has no fixed version yet, only a link. Opens the link
When the source file is newer than the fixed version, the row shows a yellow warning mark and the Fix version button turns blue. When the meaning the material explains has changed, a red warning mark appears.
Edit with the pencil button and take material off the list with the Archive button. It asks you to confirm; once confirmed the material leaves the list, but its record and fixed versions are kept.
Read how ready a deal is to buy (Decision Signals)
Decision Signals lists, per deal, what was recorded about buying intent, stakeholder alignment, budget and timing, with the risk. It appears only when the brand has Decision signal turned on.
- The columns are Buying intent, Timing, Budget, Stakeholders, Risk and Notes; the most recently updated come first
- The search box — find a signal by words in its buying intent, timing or notes
- Risk — narrow by risk: Low, Medium or High. It starts at All
- Press a row to open that signal's object page
This screen is for reading; you cannot create a record here. Records are made by asking the AI chat. Use what you read to decide what to do next in Next Actions.
How it connects to the other apps
When someone in your website chat asks to talk to a person, the conversation becomes a Sales lead. The chat only says it got through when a lead actually landed.
From Knowledge's Inquiries, Follow up as a lead turns a conversation into a lead. Conversations arriving on LINE, WhatsApp or email become either a lead or a support case, depending on what they are about.
Objections go to Knowledge, and quotes are accepted on the customer's own page. Sales is where the other apps meet your customers.
